STUDIO CANCELLATION / REFUND POLICY FOR SUMMER CAMPS

To better support the needs of our families and changing schedules while ensuring we can continue to offer high-quality programming and materials, Petit Architect has revised our cancellation and refund policy, allowing for more flexibility beginning with summer camps 2026.

We are introducing:

  • self-transfer to another session

  • self-cancel for credit/ refund

TRANSFERS & CANCELLATIONS FOR CREDIT

Families may cancel or transfer their camp registration through the Active portal:

  • More than 28 days prior to start date: for credit less a 25$ administrative fee

  • 10-27 days prior: for credit less a 50$ administrative fee

  • 9 days or less prior: No refund

The remaining balance will be issued as account credit. Transfers are possible without a fee within a 48 hours window. Transfers are not permitted less then 10 days prior to the class start date.

Credits may be used toward future camps or classes with Petit Architect for up to one year from the booking date. (Credits can only be used for classes/camps at our Kerrisdale Studio and not at community centres.)

CANCELLATIONS FOR REFUNDS

Families may cancel their camp registration through the Active portal for refunds as follows:

  • More than 28 days prior to start date: Full refund less $75 administration fee and materials fee.

  • 10-27 days prior: 50% refund

  • 9 days or less prior: No refund

Refunds will be issued for the camp balance less the fees as outlined above. Refunds will be processed back to the original form of payment.

PROMOTIONS/DISCOUNTS

We offer select promotions such as sibling discounts and refer-a-friend credits. Please note that only one discount or promotional offer may be applied per registration, and offers cannot be combined.

STUDIO CANCELLATION / REFUND POLICY FOR ALL OTHER PROGRAMS

To ensure our programs can run, and because we have a limited number of students, we don't offer any refunds for cancellations. There are no credits or refunds for missed days due to changed work or vacation schedules, sick days, or other non-emergency reasons. We recognize that extenuating circumstances exist. For cancellations due to medical illnesses, or for any other compassionate reason, please apply in writing for a potential credit. If the reason is medical or illness, please include official documentation. An administration fee of $25 CAD will be charged for any change, plus a 6% fee from Active software for any change.

COMMUNITY CENTRES CANCELLATION / REFUND POLICY

Classes and camps at the community centers are subject to the community centers policies. For classes and camps at community centers, refunds must be requested directly at the centers. Typically the centres charge a 5$ fee for cancellations.

SICK / MISSED DAYS

There are no credits or refunds for missed days due to changed work or vacation schedules, sick days, or other non-emergency reasons.  We recognize that extenuating circumstances exist. For cancellations due to medical illnesses, or for any other compassionate reason, please apply in writing for a potential credit. If the reason is medical or illness please include official documentation. An administration fee of 25$ CAD will be charged for any change, plus a fee from Active software for any change.  

In the case of school closures, fire, power failure or other "Acts of God", we may have to cancel the class/camp. We will do our best to reschedule but won't be issuing any refunds.  

Petit Architect Design for Kids reserves the right to cancel classes that do not meet minimum enrollment  and will cancel classes with low registration number, up to one week prior to the program's scheduled start date. We will then reimburse the fees minus the registration fee. 

INCLEMENT WEATHER POLICY

Studio and Vancouver programs will open/close in alignment with VSB announcements. If the school board calls a snow day, we will also close studio and cancel any after-school classes in Vancouver.

Classes in neighbouring cities to follow local school district announcements.

MEDICAL / LEARNING NEEDS

Parents/guardians are required to inform Petit Architect Design for Kids at the time of registration of any physical, emotional, or learning needs their children may have.

CHILD BEHAVIOUR

Petit Architect's classes and camps are led in a classroom environment. Students are expected to be able to behave and work on hands-on activities (drawing and building) in a respectful way.  Petit Architect Design for Kids believes that praise and positive reinforcement are effective methods of teaching and behaviour management of children. When children receive positive and understanding interactions from adults and others, they develop good self-concepts, problem-solving abilities, and self-discipline. 

We do everything in our power to protect all children from any potential harm. We reserve the right to dismiss any child from a program that intentionally harms others, brings a weapon to the program, vandalizes property, or displays other extreme behavior. In these instances, no refund is issued. In matters of inappropriate behavior, parents are notified verbally and/or in writing with a course of action.  

LIABILITY WAIVER

By registering with Petit Architect Design for Kids, the parent/guardian of the registered camper(s) on their own behalf and on behalf of the camper(s) hereby agrees that Petit Architect Design for Kids will not be held responsible for any accident, injury or loss, liability, damage, or cost they may incur, however caused, whether negligently or intentionally, and agrees to release and hold harmless all instructors, staff, volunteers, and sponsors from all claims or damages without limitation which may arise as a result of/or by reason of such accident or loss.  In our classes, we regularly use hot glue guns, and other glues and paints that could stain clothing. You accept those risks and should dress accordingly.   

COVID19 POLICY

We will do our best to meet or exceed all measures provided to us by Vancouver Coastal Health, WorkSafeBC, the Ministry of Health, and the Ministry of Children and Family Development. Nonetheless, we are unable to guarantee that you and/or your child will be 100% safe from every threat or concern when you utilize our services, including exposure to novel coronavirus (SARS-CoV-2) or COVID-19 through your contact with us.
